Connecting a Calendar
Bring an existing calendar into Volana and your meetings show up as fixed events, so the scheduler plans your tasks around them instead of on top of them. Google, Outlook, and Apple are all supported.
Connect a calendar
Pick a provider in settings. Google and Outlook hand off to their sign-in and come straight back; iCloud takes a short form because Apple uses an app-specific password instead of OAuth.

Other calendars
- Choose Google or Outlook to sign in, and you’re returned to Volana already connected.
- Choose iCloud to open a short form.
- Paste your Apple ID and an app-specific password (generated at appleid.apple.com), then connect.
- Your calendar’s events appear on the grid and the scheduler plans around them.
One calendar at a time
Volana syncs a single provider at once. Connecting a different one simply switches over: your tasks and Zen blocks stay put.
Your calendars list
Once a provider is connected, every calendar it holds shows up in settings as its own row: a colored dot, the calendar’s name, and a switch to show or hide it. The Volana calendar sits above them and can’t be turned off, it’s where anything you create without picking another calendar lands.

A small blue chip on a row marks that calendar as the default for new tasks, for new events, or both. You can drag a chip onto a different row to move that default, or set it from the calendar’s own detail page, covered next.
Open a calendar’s detail page
Click any calendar in the list, including the Volana calendar, to open a dedicated page for just that one calendar.

The detail page shows the calendar’s name, its color, three toggles, and a default tag, then Cancel and Save buttons at the bottom. The next two sections go deeper on the toggles and the color picker.
Toggle a calendar and set its defaults
Three switches live on every calendar’s detail page. Enabled hides the whole calendar from your board when it’s off, without disconnecting it. Default when scheduling tasks and default when scheduling events decide where new items land when you haven’t chosen a calendar yourself, one for tasks, one for events, and each can point at a different calendar.
Enabled
Include this calendar in your list of calendars.
Default when scheduling tasks
New scheduled tasks are written to this calendar unless you pick another.
Default when scheduling events
New events you create are placed on this calendar unless you pick another.
Only one calendar can be the task default, and only one can be the event default, at any time. Switching a default on here switches it off wherever it was set before.
Change a calendar’s color
The color grid on the detail page sets the dot you see everywhere that calendar shows up: the settings list, the day board, and the mini calendar in the sidebar.

Imported events land on your grid as fixed commitments, but they are not locked: open one to edit or move it. To create something Volana schedules for you instead, add a task: see the previous page on event types.
