Onboarding

The first time you sign in, a short setup wizard learns a few things about how you work. It runs on its own dark canvas, separate from the rest of the app, takes about a minute, and every step past the welcome screen is skippable. Nothing you answer is permanent, you can change any of it later in settings.

Setting up in a few steps

The wizard has six steps: a welcome screen, then five quick questions. Watch the whole run-through below, then read what each step asks and why further down the page.

Meet Luna, your planning copilot

A calmer way to
run your days

Calendar, tasks, and focus in one place, with Luna scheduling, replanning, and breaking work down for you.

Get started
Every setup starts with a short welcome.
  1. Welcome gives a short intro to what Volana does and who Luna is.
  2. Tools asks which task managers you use (ClickUp, Asana, Linear, GitHub, Slack, Notion) so Volana can offer to import your work.
  3. Calendar connects Google, Outlook, or iCloud so your existing events show up right away.
  4. Work hours tells Volana when you’re available so it only schedules inside your day.
  5. Planning ritual asks whether you plan in the morning or the night before, so Luna nudges you at the right time.
  6. First day plan lays out today or tomorrow with Luna’s help, and lands it straight on your calendar.

Skip anything you’re unsure about

Every step past the welcome screen offers Skip. You can revisit onboarding, or change any single answer, from settings whenever you like.

Welcome

The first screen is a short hero: what Volana does, in a sentence, and who Luna is. There’s nothing to fill in and nothing to skip, since there’s no question yet, just one button. This is the only step that isn’t skippable, because it doesn’t ask anything.

Tools

Next, Volana asks which task managers you already use day to day: ClickUp, Asana, Linear, GitHub, Slack, or Notion. Select every one that applies, or none at all. This doesn’t connect anything yet, it just tells Volana which integrations to offer once you’re set up so you can import your existing work instead of starting from a blank board.

Picking a tool here doesn’t start an OAuth flow mid-setup. Connecting happens later, from Settings → Integrations, on your own time.

Connect your calendar

Volana syncs an external calendar so your plan always reflects what’s already on your schedule, meetings, blocked time, anything you didn’t create in Volana. Connect Google, Outlook, or iCloud here, or skip for now and connect later from settings. Google and Outlook connect instantly through OAuth; iCloud asks for an Apple ID and an app-specific password instead, since it uses CalDAV rather than a native API.

One calendar at a time

Volana syncs a single external calendar provider at a time. Choosing a different one later walks you through disconnecting the current one first, nothing is ever double-synced.

Work hours

Tell Volana the hours you’re usually available, a start time and an end time. Everything outside that window is treated as off-hours: Luna won’t schedule tasks there, and the calendar shades it so you can see your real working window at a glance. Set it from the two dropdowns, or drag the band directly, the two stay in sync.

Set the hours Volana is allowed to schedule around.

This is a default, not a cage. Any single day can still be adjusted, and a one-off busy evening doesn’t require changing your whole schedule, see Work hoursunder Account & Settings for the day-by-day override.

Planning ritual

Say when you like to plan: first thing in the morning, or the night before so tomorrow is already laid out when you wake up. Luna uses this to decide when to nudge you to plan, rather than guessing or interrupting at a random time.

When do you plan your day?

Luna will nudge you at the right time to build a calm, consistent planning habit.

Luna nudges you at the right moment either way.

First day plan

The last step puts the whole idea to work immediately: choose whether you’re planning today or tomorrow, then add a few things you want to get done. Type a task and Luna estimates a duration and projects it onto your calendar in sequence, right there in the wizard, so you can see your day take shape before you ever land on the real board. If you pause instead of typing, Luna stages a few example tasks for you so the idea still lands.

Nothing is wasted if you skip

Skipping this step is fine too, it just means your board starts empty instead of pre-filled. Either way, finishing onboarding creates any tasks you staged for real, they’re waiting on the day board the moment you land in the app.

Once setup finishes, Volana drops you onto the day board covered in The interface, with a short welcome tour of the workspace.
